What a fund can run itself: investors, calls, distributions, the letter

A venture fund with a few dozen limited partners can keep its own investor record from the first close: each commitment, each call against it, each distribution, and the quarterly update. The arithmetic is small and exact. A capital call of ten percent against a five million dollar commitment is five hundred thousand dollars, and the record has to compute that for every investor at once and keep the notice as it went out. A quarter later the same record gives paid-in capital as the sum of the calls and the multiples over it. None of this needs an administrator; it needs a record that computes.

What still needs an accountant, and later an administrator

The fund's tax return and the statement each partner is furnished at year end are the accountant's job, and the audited financial statements an adviser owes its investors are the auditor's. The NAV that feeds residual value is the fund's own valuation of unlisted holdings under its policy, which an administrator later formalises. VC fund management software for a fund at this stage does not replace any of those; it produces the investor-side figures those professionals reconcile to, and it should say so rather than hinting at a ledger it does not keep.

What the software must compute, and what it may only store

Computed from the record: each call amount and each investor's uncalled balance after it, paid-in as the sum of calls, DPI and RVPI and TVPI as ratios over paid-in. On the worked example those read forty, one hundred and forty-five and one hundred and eighty-five cents per dollar paid in, which is a TVPI of one point eight five times. Stored only: the commitment, the eligibility counsel confirmed, the owner of the relationship, and every document sent. A product that asks you to type the computed figures is a contact list, and the difference shows the first time an investor's uncalled balance is questioned.

When the administrator arrives, what changes

The administrator takes the ledger, the NAV and the formal capital account statements, and the fund's own record becomes the working copy those statements are checked against: who the investors are, what was sent, what was asked. The record does not become redundant, because the administrator closes on their calendar and the investor's question arrives on the fund's. A fund that kept a computing record from the first close hands the administrator a clean history; one that kept a spreadsheet hands them a reconciliation.
